Apex Digital Minds ("Apex", "we") is a small business based in Perth, Western Australia. We may not be required to follow the Australian Privacy Principles, but we choose to. This policy explains what we collect, why, where it goes, and your choices.
It covers everything Apex does: this website, the free Apex AI Visibility Report, enquiries and intro calls, and the work we do for clients.

What we collect
- Free visibility report: your name, email address, business name, website, location, where your customers come from, the searches you give us, your social and listing links if you provide them, and any optional answers about time spent on tasks.
- Call bookings: your name, email and any notes you add when booking through Calendly.
- Emails you send us and information you share during a call or engagement.
- Website use: anonymous page-view statistics. We don't use advertising cookies or track you across other sites.
Why we use it
- To prepare and email your visibility report, and to follow up once.
- To respond to your enquiries, arrange calls and deliver work you ask for.
- To improve our services, using combined, de-identified information.
We never sell your information, add it to bought lists, or share it for others' marketing. Every marketing email includes a way to unsubscribe.
Who processes it for us
We use reputable service providers for website hosting, secure data storage, search data, AI processing, email and call scheduling. They only receive what they need to do their part: for example, the search service receives your search phrases and location, not your name or email. Some of these providers store or process information outside Australia, mainly in the United States and Europe. Email us if you'd like the current list.
Google user data
Apex runs an internal Google Workspace app that gives its own AI assistant read-only access to Apex's business documents in Google Drive. It does not access any visitor's or client's Google account or data. Apex's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How long we keep it
We keep visibility report requests for 24 months, then delete them. We keep client records for as long as we need them to deliver the work and meet legal and tax obligations.
Security
We use access controls, encrypted connections and reputable providers to protect your information. No system is perfectly secure; if a breach is likely to cause you serious harm, we will tell you.
Your choices
- Ask what information we hold about you, and ask us to correct or delete it.
- Unsubscribe from any email at any time.

If we change this policy, we'll update the date at the top of this page.
